Description

The Ithaca Board of REALTORS is searching for an association executive with great leadership and communication skills to manage the following responsibilities. The association executive reports to the Board of Directors.

Association Management

• Coordinate meetings, work with the Chairs to prepare agendas and disseminate minutes from the committee meetings. Facilitate ideas at committee meetings and provide a historical perspective, as needed

• Prepare monthly statistical reports for the Board of Directors and public as needed

• Provide a monthly written report to BOD regarding public and membership inquiries

• Work closely with Board President during their term

• Coordinate Strategic Plans as required by NAR Core Standards and track progress/report to BOD

• Maintain current updated copies of IBR Bylaws, including keeping the membership and BOD up-to-date on any changes to NAR Bylaws

• Maintain proof in writing that counsel is hired by the organization. Interact and consult with Board legal counsel as director by BOD

• Develop and maintain, with approval of the BOD, a Policy & Procedures Manual for IBR

• Encourage, plan and organize broker roundtables for broker input on IBR activities

 

Member & Public Relations/Communications

• Be accessible to members as needed

• Provide regular communication about events and updates from IBR, NAR, and NYSAR

• Oversee implementation of new member orientation program in coordination with the Education Committee

• Solicit/review information about prospective education courses and educational speakers for presentation to members, and organize and schedule courses

• Promote Realtor® image to public, highlighting how Realtor® distinguish themselves with their Code of Ethics-

• Educate the public about Fair Housing and that Realtors® embrace Fair Housing laws

• Handle and refer all media inquiries to IBR President, or another member of the BOD in accordance with the Bylaws

• Work closely with the Government Affairs Committee on legislative issues

• Represent IBR in community activities and civic organizations, such as the Tompkins County Chamber of Commerce

• Research and share information with IBR membership regarding community activities and real estate issues

 

National and State Realtor Association

  • Meet NAR Core Standards and ensure that IBR Bylaws are approved by NAR, as required
  • Attend NYSAR meetings as approved in the annual budget and serve on committee(s); report on the proceedings to the BOD and members
  • Attend the NAR meetings as approved in the annual budget; report on the proceedings to the BOD and members
  • Provide Professional Standards Administration in accordance with IBR Bylaws, and maintain a contiguous multi-board Professional Standards agreement as per NAR Bylaws
  • Maintain Professional Standards Administrator certification including training as an Ombud
  • Ensure required training on professional standards for the Professional Standards and Grievance Committees, Mediators/Ombuds and Board of Directors
  • Consult with NYSAR and NAR legal counsel and staff on questions related to Code of Ethics, professional standards, mediation, arbitration and grievance procedures
  • Consult with membership services departments of NYSAR and NAR
  • Ensure that NYSAR and NAR dues are current and have a policy in place for dues billing

 

Realtor® Multiple Listing Service (MLS)

• Have a working knowledge of the Multiple Listing Service and associated programs and forms

• Maintain a current copy of MLS Rules and Regulations including keeping the membership and BOD up-to-date on any changes to NAR MLS Rules and Regulations

• Work closely with MLS vendor on contracts, upgrades, requests for changes to the MLS system as approved by the Board of Directors

 

Office Management

• Supervise and perform annual performance review of staff

• Maintain required personnel file on all staff

• Oversee office supply purchases and manage office vendors/contracts such as phone, internet, copier, etc.

• Coordinate building maintenance, repairs and upgrades with Building Committee, as approved by the Board of Directors

• Oversee budgeting process with Finance Committee, accountant and bookkeeper; review monthly reports prepared by staff and implement cost savings when possible

Requirements

  • Bachelor's degree, or the equivalent combination of education and experience
  • Excellent interpersonal and communication skills (both written and oral), as well as strong organizational skills
  • Accuracy and strong attention to detail essential
  • Willingness to work in a small office/team environment and be involved in cross-training of tasks and duties
  • Ability to handle confidential material and stay neutral in conflict resolution
  • Understand general accounting principles and budget development
  • Be tech-savvy including, but not limited to: video/zoom conferencing, power point presentations, editing/accounting/database software, website editing, social media platforms
