Description

Basic Responsibilities:  Maintains accounting records and performs bookkeeping functions for NMAR, RPAC, the Stanley H. Mathis Foundation, MLS and the Rocky Mountain Region (when New Mexico has the RVP slot).  Plans and implements the yearly Stanley H. Mathis/Benevolent Fund auction.


Specific Duties:

  1. Handles accounts receivable and accounts payable for all corporate entities, which includes NMAR; RPAC, Benevolent Fund, Region XI (when appropriate), and Stanley H. Mathis. Maintains aged receivables and enforces collection procedures. Process member payment upon acceptance. 
  1. Appropriately codes expenses and receipts for all corporate entities according to the designated Chart of Accounts and consistent with accrual accounting procedures and annual budget.
  1. Works with auditor providing information requested for preparation of annual audit.  May be asked to gather audit proposals from various firms for consideration by Executive and/or Finance Committees.
  1. Prepares all checks and mails all payments for all corporate entities; makes all deposits to proper accounts; and reviews cash balances for all corporate entities.
  1. Collects E-Commerce Report from National Association of REALTORS® and PayPal reports on a daily basis.
  1. Posts all accounting records using accounting software.
  1. Prepares and pays New Mexico Gross Receipts Tax and other tax liabilities.
  1. Maintains and updates check signature cards annually for corporations consistent with check signing authority.
  1. Maintain communication with investment firm. 
  1. Performs other duties as requested by the CEO and assists with answering phones and greeting walk-in guests as needed.
  1. Collects moneys and maintains records of contributions during RPAC auction held in January.
  1. Works with Government Affairs Director to maintain Aristotle Record keeping ensuring accuracy.
  1. Prepares and files Secretary of State RPAC reports in an accurate and timely manner.
  1. Manages all dues billings, including dues billing procedures; bills Individual and Secondary members for dues.
  1. Plans, organizes, and implements (with Stanley H. Mathis liaison) the yearly Stanley H. Mathis/Benevolent Fund auction held during NMAR Fall Conference. This includes handling all logistical arrangements and scheduling; marketing the event; soliciting sponsors for auction items.

 

Committees

1.   Liaison for the Finance Committee and others as assigned.

      a.   Provides administrative and logistical staff support to NMAR’s Finance Committee; works with chair to create meeting agenda; obtains meeting location; sends out meeting notices; prepares and distributes agenda packets; prepares minutes; gathers background material as directed by the chair/committee; advises committee members on NMAR’s policies and procedures.

      b.   Works with financial entities to provide reports at Finance Committee meetings.

Other

1.  Reviews simple retirement plan and medical/dental deductions for accuracy.

2.  Works with Government Affairs Director to maintain Aristotle Record keeping ensuring accuracy.

3.  Prepares and files Secretary of State RPAC reports in an accurate and timely manner.

4. Other duties as assigned

Qualifications

A minimum of four (4) years of bookkeeping experience preferred, preferably in a multi-company environment; high level of integrity; tactful telephone personality; detail oriented; ability to handle multiple priorities; skill with and knowledge of a variety of computer software programs, including spreadsheets; with technology experience.
